Terms & Conditions
These Terms & Conditions apply to the Guitar Retreat taking place at Le Moulin des Étrebières, Vendée, France, from Saturday 10 July to Saturday 17 July 2027, organised by Tottman Group Ltd (“the Organiser”).
By making a booking and paying the booking deposit, you confirm that you have read and accepted these Terms & Conditions.
1. The Retreat
The retreat is a seven-night residential guitar retreat combining small-group guitar tuition, private tuition, group playing and free time.
The retreat is intended for adult hobbyist guitarists. Participants should have sufficient basic playing experience to take part in group sessions. If there is any uncertainty about whether the retreat is suitable for you, this should be discussed with the Organiser before booking.
The retreat is limited to a maximum of six participating guitarists.
2. Dates, Arrival & Departure
The retreat runs from:
Saturday 10 July 2027 – Saturday 17 July 2027
Guests may arrive from 5:00pm on Saturday 10 July and must depart by 10:00am on Saturday 17 July.
Unless specifically agreed otherwise, guests are responsible for arranging their own travel to and from the venue.
3. Accommodation & Prices
The retreat prices are:
Ensuite double room — £1,850 per guitarist
Double room with shared bathroom — £1,625 per guitarist
The price includes seven nights' accommodation, guitar tuition and activities described as part of the retreat, meals and the reasonable provision of drinks and refreshments.
Room types are subject to availability and are allocated according to the room type booked.
4. Non-Playing Partners
A non-playing partner may accompany a participating guitarist for an additional £695.
Partners will share the participating guitarist's room. The partner fee includes seven nights' accommodation, meals, reasonable provision of drinks and refreshments, and use of the retreat facilities.
It does not include guitar tuition or participation in the scheduled guitar workshops.
The partner fee is payable alongside the participating guitarist's remaining balance and is subject to the same applicable cancellation terms.
5. What's Included
The retreat price includes:
Seven nights' accommodation
Scheduled small-group guitar workshops and playing sessions
One 30-minute private guitar lesson for each participating guitarist
Meals from dinner on the day of arrival through to breakfast on the day of departure
Reasonable provision of wine, beer, soft drinks, tea, coffee and snacks
Use of the venue and its facilities during the retreat
The private lesson will be arranged at a mutually suitable time during the retreat and may be tailored to an area of playing the participant would particularly like to work on.
The precise workshop timetable and content may be adjusted where reasonably necessary to suit the group, venue or circumstances.
6. What's Not Included
Unless specifically stated otherwise, the retreat price does not include:
Travel to or from the retreat; flights, trains, Eurotunnel or other transport; airport or railway station transfers; personal travel insurance; personal spending; excursions or activities undertaken during free time; or other costs incurred independently by the guest.
If the Organiser subsequently offers or arranges optional transport, excursions or other additional services, the applicable arrangements and any additional cost will be communicated separately.
7. Payment Schedule
A £500 booking deposit is required to secure a place.
The payment schedule is:
On booking — £500 deposit
1 February 2027 — £500 second payment
10 May 2027 — Final balance
A booking is not secured until the booking deposit has been received.
Participants are responsible for ensuring payments are made by the relevant due dates. If a payment is not received, the Organiser will contact the participant before treating the booking as cancelled.
8. Minimum Numbers & Confirmation
The retreat is planned on the basis of six participating guitarists.
The Organiser may, at its discretion, choose to proceed with five participating guitarists, but is under no obligation to do so.
The retreat will be formally confirmed no later than 31 January 2027.
Participants are strongly advised not to make non-refundable travel arrangements before receiving confirmation that the retreat will proceed.
If sufficient numbers have not been reached and the Organiser decides not to proceed, the retreat will be cancelled and all payments made to Tottman Group Ltd for the retreat will be refunded in full.
9. Cancellation by a Participant
The retreat has a maximum of only six guitarist places and depends upon a small number of participants to operate. A cancellation may therefore result in a place which cannot reasonably be resold, particularly as the retreat approaches.
If you cancel your booking, you should notify the Organiser in writing as soon as possible.
Amounts already paid may be retained to cover losses reasonably arising from your cancellation, including costs or commitments which cannot reasonably be recovered and the loss resulting from a place which cannot reasonably be resold.
Where a cancelled place can be resold, or where the Organiser's actual loss is lower than the amount paid, this will be taken into account when determining any amount retained.
Participants are strongly advised to obtain appropriate travel insurance which provides cancellation cover for circumstances such as illness or injury.
Nothing in these Terms & Conditions affects your statutory consumer rights.
10. Cancellation by the Organiser
If Tottman Group Ltd cancels the retreat, all payments made to Tottman Group Ltd for the retreat will be refunded in full.
This includes cancellation because minimum numbers have not been reached or because circumstances mean the Organiser is unable to provide the retreat.
The Organiser will not normally be responsible for independently arranged travel, accommodation or other third-party expenditure. Participants should therefore ensure that they have appropriate travel insurance and should avoid making non-refundable travel arrangements before the retreat has been formally confirmed.
Nothing in this section limits any rights or remedies which cannot legally be excluded.
11. Tutor Illness or Incapacity
If Charlie is unable to lead the retreat because of illness, injury or another serious unforeseen circumstance, Tottman Group Ltd may propose a suitably qualified replacement tutor.
Participants will be informed of the proposed change.
If a participant does not wish to attend the retreat with the replacement tutor, they may withdraw and receive a full refund of payments made to Tottman Group Ltd for the retreat.
The Organiser will then determine whether it remains practical to proceed with the remaining participants.
If a suitable replacement cannot be arranged, or the Organiser decides that the retreat can no longer reasonably proceed, the retreat will be cancelled and all payments made to Tottman Group Ltd will be refunded in full.
12. Changes to the Programme
The published programme is intended to provide a good indication of the structure and content of the retreat.
The Organiser may make reasonable changes to workshop content, timings, activities or the daily schedule where necessary.
Such changes will not normally constitute cancellation of the retreat provided the overall nature and principal elements of the retreat remain substantially as described.
13. Food, Drink & Dietary Requirements
Meals are provided from dinner on Saturday 10 July through to breakfast on Saturday 17 July 2027.
Reasonable provision will also be made for wine, beer, soft drinks, tea, coffee and snacks during the retreat.
References to drinks or alcohol being “included” do not mean that unlimited quantities or particular brands or types of alcoholic drink will be available.
Participants should provide details of allergies, intolerances and dietary requirements when completing their booking information.
The Organiser and venue will make reasonable efforts to accommodate dietary requirements notified in advance, but cannot guarantee an entirely allergen-free environment.
14. Travel & Insurance
Participants and accompanying partners are responsible for arranging and paying for their own travel to and from the retreat unless specifically agreed otherwise.
Each guest is strongly advised to obtain suitable travel insurance covering, as appropriate:
cancellation or inability to travel; medical treatment and repatriation; personal belongings; guitars and other equipment; travel disruption; and other risks appropriate to their circumstances.
The Organiser is not responsible for a participant's failure to obtain adequate insurance.
15. Wednesday / Free Time & Independent Activities
Parts of the retreat, including the designated day off and other free periods, are deliberately unscheduled.
Participants are free to relax at the venue or independently visit the surrounding area.
Unless an activity or excursion is expressly organised and included by Tottman Group Ltd, any excursion, journey or activity undertaken during free time is undertaken independently and at the participant's own expense and responsibility.
16. Conduct
The retreat is intended to provide a relaxed, friendly and safe environment for everyone attending.
Participants and partners are expected to behave reasonably and respectfully towards other guests, the Organiser, venue staff and the property.
The Organiser reserves the right to require a guest to leave the retreat in cases of serious misconduct, threatening or abusive behaviour, behaviour which presents a significant safety risk, or serious/repeated disruption to other guests.
Any refund in such circumstances will be determined in accordance with applicable law and the losses reasonably incurred as a result of the guest's conduct.
17. Damage to the Venue or Property
Guests are responsible for treating the venue, instruments, equipment and other property with reasonable care.
A guest may be required to reimburse the Organiser or venue for the reasonable cost of repairing or replacing property damaged or lost as a direct result of that guest's deliberate action or negligence, excluding normal wear and tear.
18. Health & Personal Requirements
Participants are responsible for considering whether they are physically able to take part in the retreat and for informing the Organiser in advance of any relevant accessibility requirements or other requirements which may reasonably affect their participation.
The Organiser will make reasonable efforts to accommodate individual requirements where possible but cannot guarantee that every requirement can be accommodated.
19. Photography & Video
Photographs and video may be taken during the retreat.
Participants will be given the opportunity to provide or decline consent for identifiable photographs or video of them to be used by Tottman Group Ltd for promotional purposes, including websites, social media and future retreat marketing.
Declining promotional photography/video consent will not affect a participant's ability to attend the retreat.
20. Liability
Tottman Group Ltd will exercise reasonable care in organising and delivering the retreat.
The Organiser will not be responsible for losses arising from circumstances outside its reasonable control, or for independently arranged travel, excursions, purchases or other third-party arrangements, except where responsibility cannot legally be excluded.
Nothing in these Terms & Conditions excludes or limits liability where doing so would be unlawful, including liability for death or personal injury caused by negligence.
21. Complaints & Problems During the Retreat
If a participant has a problem or concern during the retreat, they should raise it with the Organiser as soon as reasonably possible so that there is an opportunity to investigate and, where possible, resolve the issue during the retreat.
If the matter cannot be resolved during the retreat, the participant should contact Tottman Group Ltd in writing afterwards with details of the issue.
22. Personal Information
Personal information supplied during the enquiry and booking process will be used as reasonably necessary to administer the retreat, communicate with participants and make appropriate arrangements with relevant suppliers.
Information such as dietary requirements or other information necessary for the delivery of the retreat may be shared with the venue or relevant suppliers where reasonably necessary.
Personal information will be handled in accordance with applicable data-protection law and Tottman Group Ltd's privacy arrangements.
23. Governing Law
These Terms & Conditions and bookings made under them are governed by the laws of England and Wales.
Nothing in this clause deprives a consumer of any mandatory legal protections or rights they may have under applicable law.
